These are some examples of complex child policies and rates and a guide on how to load them.
You will need to have a basic understanding of the Service Capacities in Travelogic™. Please see the article: How To Load Service Capacities for different Service Types
CHILDREN SHARING WITH 2 ADULTS IN A ROOM
This is an example of a child policy when sharing with 2 paying adults, but each child is charged differently:
- 2 adults + 1st child 2-13.99 years = free of charge
- 2 adults + 2nd child 2-13.99 years = 50% of adult sharing rate
In order to differentiate between the rates for the 1st child and 2nd child, we will use Pax Order Rule.
In the Rate Rules,
- Create the Validity and Traveler Age rate rules as normal
- Create 2 Pax Order rules for Pax 3 and Pax 4. These rates apply when the children are sharing with 2 adults, therefore they are the 3rd and 4th passengers in the room.
- Click New Rate Rule > select Pax Order > enter 3 in both the From/To Position fields. Repeat for Pax Order 4
On the Ratesheet,
- Click New, select the service and the basis types: Per Person Sharing, Per Single and Per Extra Person, as normal
- Enter the Per Person Sharing and Per Single rates as normal
- Now, enter the rate for the 1st child sharing on the Per Extra Person, 2-13 years
- Manually add the Pax Order rule by right-clicking on the rate line > select Pax Order > select Pax 3
- Copy this rate line, change the Pax Order Rule by right-clicking on the rate line > select Pax Order > select Pax 4
- Enter the rate for the 2nd child sharing on this copied line

Ensure that the correct pax order rules are attached to each child rate.
In the quote when there are 2 children sharing with 2 adults, TL will assign the correct rate to each child according to their order:

CHILDREN SHARING WITH 1 ADULT IN A ROOM
Example:
- Over 2 / under 12 years sharing room with one adult = Adult pays full sharing rate, 1st child pays 50% & 2nd child pays 50%
This scenario is easily handled in the Capacity Tab of the Service. Change the Child Base to 1:
*Remember the Base refers to the number of Per Person Sharing Rates that needs to be charged, before the Per Extra Person / child rates can apply

This will ensure that when there is only 1 Adult in the room, the adult is charged the Per Person Sharing rate and the child/ren are charged the Per Extra Person (child) rate.
Enter the Per Person Sharing, Per Single, Per Extra Person rates as normal on the rate sheet.
CHILDREN SHARING WITH 1 ADULT WHO IS CHARGED A SINGLE RATE:
An example of this kind of child sharing policy is as follow:
- 1 adult + 1st child 2-13.99 years =Adult pays single rate; child 50% of adult sharing rate
- 1 adult + 2nd child 2-13.99 years = 1st child 50% of adult sharing rate; 2nd child = 25% of adult sharing rate
- 1 adult + 3rd child 2-13.99 years = 1st + 2nd child 50% of adult sharing rate; 3rd child 0.13.99 = 25% of the adult sharing rate
In this scenario, the Adult is still seen as Sharing, as there are children occupying the room, therefore it cannot automatically pick up the Single rate for the adult.
This scenario can only be handled by adding a separate Service Line called “Single Adult with child/ren”:

On the service capacity, you will enter 1 for the Adult Base and Adult Max, as well as for the Child Base:
*Remember the Base refers to the number of Per Person Sharing Rates that needs to be charged, before the Per Extra Person / child rates can apply

On the rate sheet, you will load the Single rate under the Per Person Sharing basis type, as the adult is sharing with the children. Enter the child rates as Per Extra Person as normal:
*Note: you will also have to add the Pax Order 2, Pax Order 3 and Pax Order 4 rate rules to differentiate the 1st, 2nd and 3rd child rate:

CHILDREN IN THEIR OWN ROOM
Option 1
When children are on their own in a room, and required to pay the full adult sharing rate/s, ensure that the Child Base = 2:

This will ensure that the first 2 children in the room will be charged the adult Per Person Sharing rates and the rest of the children will be charged the child rates, as if they were sharing the room with adults:

Option 2
When children are in their own room and they are still charged the child rates, the child base = 0.
Option 3
When children are on their own in a room and they have their own Child Sharing rates
For example:
- Per person sharing: $571
- Single Room: $685
- Children 2-11yrs sharing own room: $428
- Child 2-11 yrs sharing with adults (on a third bed): $285
In the scenario above, you will have to load an additional Per Person Sharing rate for the child 2-11yrs:

This ensures that when there are children on their own in a room, it will use the Per Person Sharing rates (Child Sharing) for the first 2 children, and the Per Extra Person rates for the rest of the children as normal:
